Build guides

One automation per guide, start to finish. Which export to turn on, how to get it out on a schedule, the logic, the thresholds I use and why, and the three ways it breaks after a month.

They are ordered by what I would build first, which is not the same as what takes longest. The first one on the list finds money in almost every portfolio I have looked at.

Get told who crossed 30, 60 and 90 days last week

The aging report tells you who owes. It does not tell you who changed. This is the one that finds money.

Soon

Stop finding out a vendor's insurance lapsed after the claim

Pull the expiry date off every certificate as it arrives, and block work orders against expired vendors.

Soon

Catch a water leak from the bill instead of the ceiling

Per-meter baselines and a threshold. A bill that tripled has been tripling since the period started.

Soon

Never pay the same invoice twice

Fuzzy match on vendor, amount and date across a rolling window, before approval.

Soon

Check that your property manager billed the rate in the contract

Recompute the management fee from collected revenue and compare. Errors here are common and they compound.

A calculator, while you wait for the rest

The rent leak calculator splits the gap between what your rent roll says you could collect and what actually reaches the bank, into vacancy, non-revenue units, loss to lease, concessions and uncollected rent. It runs on figures you already have and it takes about two minutes. Most owners are surprised by which of the five is largest.
